Executive summary
This comparison looks at Odoo less as an abstract feature list and more as a decision for teams that need sales, guests, bookings, payments, inventory, and reporting to work together.
Billing model
One bundled platform bill, unlimited users, every operational surface included.
Standard €31.10/user/mo + payment-processor pass-through fees + per-app billing on Custom tier.
POS / front-of-house
Bundled — hospitality + retail-tuned, table management and restaurant flows out of the box.
Odoo POS — general-purpose, retail-shaped; restaurant features via community modules.
Property management
Bundled.
No first-party PMS; community-contributed modules of varying quality.
CRM + customer record
Bundled — same customer record across POS, PMS, online, restaurant.
Odoo CRM — strong sales-pipeline focus; less retail/hospitality-shaped customer record.
Odoo started in Belgium in 2005 as TinyERP, became OpenERP, and is today one of the most ambitious business software platforms in the world. The product surface is enormous — CRM, accounting, manufacturing, inventory, HR with payroll, POS, ecommerce, website builder, helpdesk, project management, fleet, marketing, recruitment, surveys, and dozens of other apps — all available as a single SaaS subscription on Odoo.com or as a self-hostable open-source codebase via the Community edition.
If raw breadth is what you need, Odoo is the obvious answer. A 3,000+ implementation-partner network spans almost every country, the Community codebase is genuinely modifiable, and country-specific accounting packs cover roughly fifty jurisdictions. For an operator who needs manufacturing or deep multi-entity accounting customization on the same platform as their business management, Odoo has more raw scope than any other vendor in this comparison set.
Opinionated and curated, not wide-and-shallow. Odoo covers everything but doesn't go deep on any one vertical. Their POS is a general-purpose retail till; restaurant features depend on community-built modules of varying quality; their PMS doesn't exist as a first-party product. Kotao is the opposite trade-off — every surface is built for hospitality, retail, and commerce, and the depth comes from focus. We don't try to ship manufacturing or payroll, and we never will.
Hospitality vertical depth Odoo doesn't have. Kotao's POS ships table management, course firing, split bills, tip distribution, and restaurant-shaped flows out of the box. Our retail till is tuned for fashion, lifestyle, and specialty retail. Our PMS handles housekeeping, channel management, and group reservations. Odoo's POS works for general retail; for hospitality, you assemble community modules or move to a hospitality-specific vendor. For a restaurant, hotel, or multi-channel retail operator, that's the wrong starting point.
Built-in payments vs payment-processor-wrapper economics. Odoo doesn't acquire cards — they wrap external processors, and you pay those processors at their rates, which vary by country, card type, and channel. Kotao Payments is part of the platform, so payouts, orders, customer records, and reporting reconcile in minutes instead of hours.
One bill for everything, not per-app per-user pricing. Odoo Standard is €31.10 per user per month, and many integrations are billed per app on the Custom tier. A small operator with five staff using five apps is at €155.50 per month before payment processing. Kotao bundles every operational surface and every staff member into one platform bill — pricing is set per launch operator during early access and held flat until the public switch-over.
One product, one design system, one customer record. Odoo's apps share a visual style, but the customer record, inventory, and operational flow are still federated across CRM, POS, and ecommerce — switching between Odoo modules feels like switching between products. Kotao puts POS, PMS, CRM, ERP, payments, and storefront on one customer record with one operational fabric underneath.
ERP breadth at a scale Kotao doesn't try to match. Odoo ships manufacturing (MRP, work orders, BOMs, quality control), HR with country-specific payroll, fleet management, helpdesk, project management with timesheets, recruitment, and surveys — all on the same platform as the business management. Kotao doesn't compete here and never will. If your operation needs production planning, multi-entity payroll, or a fleet module on the same backend as your sales floor, Odoo is the right call and we'd say so to your face.
Mature accounting and financial reporting depth. Odoo's accounting module supports multi-company, multi-currency, multi-VAT, and country-specific tax rule packs for roughly fifty jurisdictions, with consolidation, intercompany flows, and a full general ledger. Kotao's billing and finance surface is hospitality-and-retail-shaped — it isn't a multi-entity ERP general ledger and isn't trying to be.
Open-source, self-hostable codebase. The Odoo Community edition is genuinely free and you can run it on your own infrastructure, fork it, mod it, or replace any module with your own implementation. For operators who need to own the codebase or who have regulatory reasons to self-host on specific hardware, that's a real advantage. Kotao is a managed SaaS platform — we run it; you don't.
3,000+ implementation partners worldwide. If you want a local consultant in your city to customize Odoo for your business, they almost certainly exist. The partner network spans almost every country and covers vertical-specific implementations across manufacturing, retail, services, and professional industries. Kotao is direct-sale today; our partner program is launching with curated specialists.
App breadth across every operational surface. Helpdesk, project management with Gantt and timesheets, fleet management, marketing automation, surveys, recruitment, expense management, document management — Odoo has them all in one product. Kotao integrates with category specialists for those surfaces because we'd rather hand off to a best-in-class tool than ship a shallow imitation.
Pick Odoo if: you need manufacturing (MRP, work orders, BOMs) or deep multi-entity accounting customization on the same platform as your business management; you already work with an Odoo implementation partner or want to hire one in your country; you want to self-host on your own infrastructure or fork the Community codebase; or you need helpdesk, project management, fleet, recruitment, and surveys in the same product as the rest of your business and would rather have ERP breadth than vertical depth.
Pick Kotao if: you operate in hospitality, retail, restaurants, or multi-channel commerce and need vertical-specific depth — table management, course firing, hotel housekeeping, retail-shaped inventory — that Odoo's general-purpose modules don't deliver; you want one customer record across POS, PMS, CRM, online, and the till instead of federated apps stitched together; you want payments connected to the operating system instead of a payment-processor wrapper; or you want one bundled platform bill instead of per-user, per-app pricing that scales with your team.
Demo guide
The best demo is concrete. Bring real workflows, data, locations, fee models, and responsibilities, not just a wishlist.
Start with one location, one revenue center, or one clear workflow. That makes the decision measurable before the whole operation moves.
Decide early which customer, product, booking, and payment records need to be clean for reporting and automation.
Front office, back office, finance, and marketing evaluate software differently. A good rollout shows each role the direct benefit.
